Overview
The HR Officer is responsible for ensuring effective implementation of human resources processes in line with Save the Children International (SCI) policies, standards, and local labor legislation. The role provides direct technical and operational support to the HR/Admin Coordinator and Field Manager in the areas of recruitment, staff management, documentation and payroll.
Key Responsibilities
- Provides HR support to staff primarily based in Kharkiv and Sumy, and provides ad hoc support to the Dnipro office as required.
- Collects, maintains, and updates staff personal files, ensuring proper storage and availability of primary HR documentation.
- Prepares HR-related documents such as contracts, amendments, orders, letters, certificates, and other official correspondence in compliance with Ukrainian labor legislation.
- Ensures timely and accurate updates of employee data in the HR Oracle system.
- Maintains and regularly updates HR trackers, including leave tracker, recruitment tracker, induction and training records.
- Supports recruitment processes in line with Safe Recruitment principles.
- Supports onboarding processes for new staff.
- Supports offboarding processes.
- Supports HR Coordinator in tracking and monitoring timesheet completion for National staff.
- Provides support in processing staff insurance and related documentation.
- Assists in maintaining and updating the Performance Management system and prepares HR-related reports.
- Maintains records related to staff learning and development activities, inductions, trainings and wellness initiatives.
- Communicates and coordinates with the IT team regarding staff email accounts and system access issues.
- Ensures proper data management and documentation for support staff.
- Supports HR and Admin Coordinator in liaising with external parties on matters related to staff registration, taxation, insurance, learning and development, and other HR-related areas.
- Provides day-to-day HR operational support and contributes to the effective implementation of HR processes across assigned locations.
- Provides ad hoc support with general administrative tasks and office wellbeing initiatives as required.
Required Experience
Minimum 2 years’ experience in HR/Admin or data management related work.
Qualifications
- Certificate of education, higher level of education desirable.
- Knowledge of Ukrainian labor legislation
- Knowledge of Oracle HR/any HRIS systems
- Excellent interpersonal skills
- Good verbal and written communication skills
- Proficient in digital tools, including Microsoft Office suite and database management systems
- Excellent attention to detail, organizational skills and discretion with confidential information
- Proven ability to handle challenging workload
