Overview

The Senior Award Specialist is responsible for the day-to-day administration and coordination of development and humanitarian awards, sub-awards, and contracts. The role supports staff capacity building, implements process improvements, and ensures compliance with regulations.


Key Responsibilities
  • Support award management and donor compliance, including coordination of budgets, payment schedules, and donor reports.
  • Implement award management systems and processes, and maintain key controls.
  • Participate in proposal development meetings and draft quality documents.
  • Conduct Award Kick-off meetings and initiate close-out processes.
  • Escalate award management and donor compliance risks.
  • Support regular award monitoring and individual award performance.
  • Address routine award management issues and escalate complex ones.
  • Assist in completing Award Risk Assessment and Joint Opportunity Risk Tool.
  • Provide operational support during humanitarian crises.
  • Maintain understanding of SCI processes and donor requirements.
  • Coordinate and submit partner and sub-award agreements for vetting.
  • Act as a key support person for donor audits or visits.
  • Coordinate the legal vetting of implementing partner organizations.
  • Participate in organizational assessments of partners.
  • Prepare draft sub-award agreements and liaise for approvals.
  • Support contract negotiations with partners and assist in developing capacity building plans.
  • Help identify partner-related risks and capacity gaps.
  • Serve as a liaison for communications with Save the Children member headquarters.
  • Contribute to partner capacity building.
  • Work with Regional BP and SCI Centre to update best practices.
  • Provide informational support for communications with Chinese regulators.
  • Provide administrative support for the CO RMP process.
  • Compile and distribute regular updates on outstanding actions.
  • Assist in drafting the annual verification work plan.
  • Serve as an administrative focal point for risk-related documentation.
  • Maintain the tracking register for Global Assurance audit recommendations.
  • Support the preparation of summary reports on audit outcomes.
  • Participate in initiatives promoting knowledge sharing on donor compliance.
  • Provide day-to-day guidance and troubleshooting support to China Programme teams.
  • Act as facilitator or trainer for award management procedures and donor requirements.
  • Support the cross-functional review of donor and member requirements.
  • Act as CO PRIME champion and support programme teams' use of PRIME.
  • Support the NBD process within the country office.
  • Undertake other ad-hoc tasks as assigned.
Required Experience
  • 5-7 years experience
  • At least 3 years of relevant experience working in an NGO, corporate foundation, or related sector
Qualifications

• A professional qualification at graduate level or equivalent in a related subject.
