Overview
The Programme Assistant provides clerical and administrative support to project implementation under the supervision of the UNIDO Representative.
Key Responsibilities
- Perform general administrative tasks such as arrangements for safety, meetings, events, study tours, trainings and workshops.
- Provide logistical support to international consultants, national consultants, and visiting UNIDO staff members.
- Monitor disbursements, commitments and budget allocations and availability for projects.
- Initiate exercises related to project implementation, budget revisions, and administrative functions.
- Interpret and clarify the application of financial procedures, administrative instructions, policies, and rules.
- Keep track of project budget expenditures and initiate budget revisions.
- Retrieve substantive information on administrative matters and/or projects from SAP modules.
- Prepare and follow up on actions related to trainings, study tours, purchase of equipment/goods and services, travel requests/claims, recruitment, and visa applications.
- Process all payments and liaise with project teams to clear payments.
- Assist with onboarding of new project personnel.
- Assist in drafting regular and/or ad-hoc reports on project activities.
- Provide support to local staff members.
- Carry out ad-hoc assignments and research activities.
- Maintain all project-related files and databases.
Required Experience
- A minimum of five (5) years of working experience in providing support to managerial/professional staff and using administrative skills is required.
- Candidates holding a first-level university degree or higher must have at least three (3) years of relevant work experience.
- Experience in office procedures and practices, preferably within the UN system or in a multicultural environment, is desirable.

- Experience/proficiency in using Microsoft Office (Outlook, Word, Excel and PowerPoint), internet, is required.
- Experience with SAP or similar ERP software is desirable.
Qualifications
- Completed higher secondary education (high school diploma or equivalent), is required.
- Formal administrative/secretarial/clerical training, or equivalent, is desirable.
