Overview

The Programme Assistant provides clerical and administrative support to project implementation under the supervision of the UNIDO Representative.


Key Responsibilities
  • Perform general administrative tasks such as arrangements for safety, meetings, events, study tours, trainings and workshops.
  • Provide logistical support to international consultants, national consultants, and visiting UNIDO staff members.
  • Monitor disbursements, commitments and budget allocations and availability for projects.
  • Initiate exercises related to project implementation, budget revisions, and administrative functions.
  • Interpret and clarify the application of financial procedures, administrative instructions, policies, and rules.
  • Keep track of project budget expenditures and initiate budget revisions.
  • Retrieve substantive information on administrative matters and/or projects from SAP modules.
  • Prepare and follow up on actions related to trainings, study tours, purchase of equipment/goods and services, travel requests/claims, recruitment, and visa applications.
  • Process all payments and liaise with project teams to clear payments.
  • Assist with onboarding of new project personnel.
  • Assist in drafting regular and/or ad-hoc reports on project activities.
  • Provide support to local staff members.
  • Carry out ad-hoc assignments and research activities.
  • Maintain all project-related files and databases.
Required Experience
  • A minimum of five (5) years of working experience in providing support to managerial/professional staff and using administrative skills is required.
  • Candidates holding a first-level university degree or higher must have at least three (3) years of relevant work experience.
  • Experience in office procedures and practices, preferably within the UN system or in a multicultural environment, is desirable.
  • Experience in providing support to managerial/professional staff and using administrative skills, is desirable.
  • Experience/proficiency in using Microsoft Office (Outlook, Word, Excel and PowerPoint), internet, is required.
  • Experience with SAP or similar ERP software is desirable.
Qualifications
  • Completed higher secondary education (high school diploma or equivalent), is required.
  • Formal administrative/secretarial/clerical training, or equivalent, is desirable.

• Fluency in written and spoken English is required. • Fluency and/or working knowledge of Thai is required.
Languages Preferred
• Malay desirable.
