Overview

The Human Resources Associate will be responsible for conducting Human Resources functions in Rome, including accurate and timely processing of payroll for locally recruited staff, ensuring adherence to established staff and financial rules.


Key Responsibilities
  • Assist in coordination of recruitment processes, including guidance to hiring managers, drafting and posting Vacancy Notices, screening applications, drafting interview protocols, participating in interviews, conducting reference checks, and preparing job offers.
  • Carry out and coordinate pre-employment activities such as preparing Entry on Duty documentation, coordinating medical exams, and arranging induction sessions.
  • Perform assigned roles in the organizational HR system, ensuring data consistency and accuracy, verifying eligibility for benefits, and monitoring contractual situations.
  • Perform the role of Timekeeper, monitoring, maintaining, and reconciling leave quotas.
  • Carry out a wide range of Human Resources actions, including preparation of documentation for separation, classification, and promotion.
  • Prepare reports on personnel matters and draft routine correspondence.
  • Assist in monitoring compliance with the performance evaluation process.
  • Provide information to staff on their entitlements and responsibilities.
  • Ensure timely and accurate entry of HR actions and master data in the organizational HR system.
  • Register and manage recurring and ad hoc payments and deductions.
  • Prepare, validate, and submit PST files for standing payments and deductions.
  • Review and validate payroll run reports.
  • Identify, document, and coordinate the correction of payroll discrepancies and errors.
  • Record and submit additional HR actions or adjustments not included in the first payroll run.
  • Track and communicate all payroll-related errors and corrective actions.
  • Review final payroll reports for post-payroll monitoring purposes.
  • Identify areas for improvement and provide inputs for new procedures.
Required Experience
  • High School diploma with five years of relevant experience; or, Bachelor’s degree in Human Resources, Business Administration, Psychology or related field with three years of relevant professional experience.
  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook.
  • Previous experience in SAP/ORACLE is a distinct advantage.
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
