Overview

The Supply Chain Officer is responsible for managing staff, vehicle fleet, assets, and procurement properties to ensure effective, transparent and accountable supply chain and logistics support to Save the Children programs. This role involves liaison with program teams to ensure adequate supply and logistical consideration for coordination and planning of program implementation.


Key Responsibilities
  • Managing and tracking all vehicles on the fleet, including movement planning and day-to-day allocation.
  • Managing, maintaining, and repairing vehicles in safe and efficient working order.
  • Ensuring vehicles are checked daily, and regular service and maintenance are carried out.
  • Administering litigations and traffic offenses.
  • Ensuring vehicles have current and lawful documentation.
  • Managing service agreements related to vehicle maintenance and fuelling.
  • Monitoring fuel consumption and submitting monthly reports.
  • Receiving travel requests and maintaining trip schedules and Staff Movement Board.
  • Coordinating with incoming and outgoing travelers on pick-up and drop-off times.
  • Maintaining up-to-date control of all assets including tracking donor, value, and location.
  • Managing staff issue, and recording all asset movements and disposals.
  • Overseeing the issuance and return of assets to/from staff.
  • Ensuring good condition of assets and maintaining asset condition reports.
  • Overseeing procurement requirements of the Field Office.
  • Implementing procurement as per approved guidelines, procedures, and forms.
  • Checking the availability and prices of requested items in the local market.
  • Preparing a weekly summary of all outstanding purchase requisitions.
  • Preparing monthly summary reports on the procurement and logistics support functions.
  • Monitoring procurement and logistics support costs in liaison with the Field Accountant.
  • Maintaining all logistics and procurement files in an organized, accurate and up-to-date manner.
  • Line managing, coordinating, monitoring, and guiding the work of the drivers, and supply chain assistant.
  • Producing weekly procurement tracker and sending it to program manager and country office.
  • Producing logistics and procurement site report, vehicle and generator cost performance report.
  • Updating Asset Register and sending to country office every month.
  • Updating the vehicle cost schedule and producing regular vehicle performance and cost reports.
  • Ensuring all suppliers and service providers understand SCI safeguarding policies.
  • Overseeing vehicle operations and drivers’ performance to minimize/eliminate accidents.
Required Experience
  • 3 years prior experience in a similar role.
  • Experience in procurement and logistics with INGO.
  • Experience in a relatively insecure field-based environment.
Qualifications
  • Bachelor's degree (BSC) or Higher National Diploma (HND).
  • A Postgraduate qualification in related fields is desirable.
  • Membership of a professional supply chain organization is desirable.
