Overview
The Fuel Management Assistant is responsible for the collection, verification, validation, and entry of fuel data into FleetWave, WFP's fleet management system. This role ensures accurate data for monthly reconciliation and fuel consumption analysis reports.
Key Responsibilities
- Collect daily fuel documents (release vouchers, delivery slips, transfer vouchers).
- Update the system for spare parts inventory.
- Prepare spare parts requirements in collaboration with the mechanic.
- Create Job Cards.
- Inspect stocks and report on quantity and quality of received parts.
- Enter documents into Excel Tool and FleetWave on the same day of receipt.
- Validate fuel distribution data from Excel Tool and the FMS mobile application.
- Examine documents for errors or inconsistencies.
- Compare data in Excel Tool with photos and information submitted via the FMS application.
- Correct anomalies before final validation.
- Reconcile monthly data between Excel Tool and FleetWave, and physical fuel levels.
- Produce a monthly fuel consumption analysis report.
- Collaborate with the Fuel Attendant to resolve data discrepancies.
- Participate in audits and inspections.
- Archive digital fuel documents.
Required Experience
- At least four (4) years of experience in a fuel management-related position, or in another related field.
- Experience in monthly data reconciliation and analytical report production.
- Experience in fleet management, logistics, or data entry.
Qualifications
- Completion of secondary education.
- A post-secondary education certificate in administration, finance, management, or a similar field.
