Overview

The main purpose of this position is to ensure the comprehensive management, administrative control, and lifecycle supervision of supplier contracts.


Key Responsibilities
  • Establish control and registration of contracts and amendments for the acquisition of medical supplies and/or devices.
  • Establish control and follow-up of contracts with service providers related to equipment acquisition.
  • Process documentation for customs clearance of imports.
  • Control and register performance guarantees from suppliers and monitor their validity.
  • Provide strict follow-up and management of contracts to know the status of each contract/purchase order globally and at different detail levels.
  • Coordinate deliveries between the associate and the supplier; potentially accompany during the reception process.
  • Receive and review documentation sent by suppliers for payment processing.
  • Manage amendment requests for supplier contracts.
  • Provide information on supplier performance history for future awards.
  • Maintain information in contract tracking matrices with quality and promptness.
  • Ensure due diligence in contract management process documentation, allowing for required physical and digital records.
  • Periodically and promptly update information in One UNOPS for contract management process due diligence.
  • Maintain adequate and fluid communication internally and externally to the project.
  • Support the project in specific activities related to suppliers and customer service.
  • Support the Project Senior Manager and Associate in general project activities and other assigned tasks.
Required Experience
  • Minimum of five (5) years of experience in administrative or financial support, preferably in international organizations or UN agencies.
  • Experience in document administration and contract administration (administrative and financial).
  • Desirable experience in administration, accounting, procurement, finance, logistics and monitoring, infrastructure projects/companies, health sector projects/companies.
  • Experience with office suites (preferably G Suite or MS Office).
Qualifications
  • Required: Completion of secondary education, preferably a high school diploma or technical degree in an administrative area, commercial expert, or professional technical high school diploma in accounting and finance.
  • Desirable: University degree at the bachelor's level, preferably in Business Administration, Public Accounting, Finance, Industrial Engineering, Economics, or related fields.
