Overview
The Supply Chain Assistant (Procurement) will provide procurement support to clients, promoting a client and efficient service-oriented approach.
Key Responsibilities
- Receive and consolidate procurement requisition forms, verifying information and compliance.
- Support tender document preparation, bid solicitation, and quotations.
- Draft bid analysis summaries and provide procedural guidance during evaluations.
- Submit terms of agreement with suppliers and prepare relevant documentation.
- Monitor contract implementation and progress.
- Track open purchase requisitions and orders, following up on timely delivery.
- Coordinate with receiving units for delivery notes and verify record-keeping.
- Review vendor invoices and prepare payment requests.
- Create and maintain physical and electronic records of procurement documentation.
- Assist in identifying and evaluating potential new suppliers.
- Monitor contractual agreements and notify concerned parties.
Required Experience
- Two years of relevant professional experience with a Bachelor's degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field.
- Four years of relevant professional experience with a high school diploma/certificate.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, E-mail, Outlook).
- Previous experience in Enterprise Resource Planning (ERP) software (SAP and/or Oracle) is a distinct advantage.
- Experience in procurement and logistics and working with vendors and service providers.
- Experience with asset management process.
- Experience working with IOM/UN Procurement and Logistics Rules and Procedures is an advantage.
- Experience working in an international organisation an advantage.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
Qualifications
- Bachelor's degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution.
- High school diploma/certificate.
- Certificate of good conduct from the police (required if selected).
