Overview
The Protocol, Events and Visits Assistant will support the Public Information and Outreach Section by managing visitor applications, scheduling visits, making logistical arrangements, and assisting with protocol practices for events and visits.
Key Responsibilities
- Deal with queries and requests from visitors at the information desk.
- Receive and process all applications for visits (for both groups and individuals).
- Schedule visits, date and duration, and identify suitable speakers.
- Make all necessary logistical arrangements including booking conference rooms, requesting IT services, catering, transportation, parking, preparation and distribution of relevant information materials.
- Inform Security of scheduled visits, names of visitors and ensure compliance at all times of ICC security measures.
- Greet visitors at the public area of the Court and escort them and when necessary oversee their seating in accordance with the rules of protocol.
- Evaluate the programme for visitors, maintain records of visits and maintain statistics.
- In case of special events, conferences or ceremonies identify problems and assist senior officials on possible solutions.
- Ensure that protocol practices and procedures are established and followed.
- Store, file, prepare and distribute ICC documentation and anticipate needs for printing.
- Monitor incoming correspondence and draft correspondence for the signature by the Head, Protocol, Events and Visits Unit.
Required Experience
At least four years of experience in the organisation of events and visits, hospitality, protocol or other related field is required. An advanced or a first-level university degree may be considered as a substitute for two years' working experience only to determine eligibility. Experience in an international environment is desirable.
Qualifications
Diploma of secondary education is required.
