Overview

The European Commission is seeking an experienced secretary to the Director to provide administrative, logistic, and secretarial support. The role involves managing documents, coordinating meetings, and ensuring effective communication within the Directorate.


Key Responsibilities
  • Attribute, follow up and file ARES documents and mail
  • Apply document management rules
  • Launch briefing requests in Basis for the Director
  • Monitor deadlines
  • Ensure calendar planning
  • Organise, prepare and follow up of meetings
  • Provide administrative and logistical support for the organisation of meetings and events
  • Maintain an effective information flow and communication within the Directorate and towards other services and external contacts
  • Prepare documents and notes
  • Assist with Sysper and recruitments
  • Ensure document filing
  • Arrange videoconferences
  • Organise missions in MIPS
  • Work in close collaboration with other members of the Director's team
Required Experience

A minimum of three years of related professional experience. Knowledge of Commission procedures and administrative rules, and experience in document management are essential. Previous experience as an executive secretary is an asset.

Qualifications

At least a level of post-secondary education attested by a diploma, or a level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years.

Languages Required
Written and spoken fluency in English and a good knowledge of French are a requirement. A thorough knowledge (minimum level C1) of one of the 24 official languages of the EU AND a satisfactory knowledge (minimum level B2) of a second official language of the EU, to the extent necessary for the performance of the duties.

Contract Duration
The duration of the 1st contract will be of 1 to 4 years. The contract might then be extended only once for a maximum of 2 years.

Remuneration
