Overview
To ensure the secretariat of the Representation, provide general support to different teams, and contribute to the good functioning of the Representation.
Key Responsibilities
- Manage the Head of Representation’s agenda
- Organise meetings
- Contribute to the preparation and smooth running of high-level visits also from a protocol aspect
- Ensure effective management of functional mailboxes of the Representation
- Prepare correspondence for the Head of Representation to internal and external entities
- Take minutes of meetings
- Organise trips, hotel reservations, transports, mission orders and cost declarations
- Ensure the logistical support in the organisation of meetings, lunches, exhibitions, conferences, visits including room reservations, preparation of the meeting documents and provide information to visitors
- Liaise with the protocol service of the European Commission and the Ministry of Foreign Affairs in case of high-level/VIP visits, including The President of the European Commission and Members of the College
- Contribute to document management in the Representation
- Contribute to good communication within the entity
Required Experience
At least three years' experience in secretarial or administrative assistance will be essential.
Qualifications
University degree or vocational training in a field related to the job would be an advantage.
