Overview

Seeking an Administrative Agent to provide secretarial and operational support to the Head of Unit, their deputy, and the team within the Media Monitoring and Analysis unit of the European Commission's Directorate-General for Communication.


Key Responsibilities
  • Providing overall administrative and operational support to the Head of Unit, deputy, and team.
  • Supporting the Head of Unit with agenda management, meeting and mission organisation, and mailbox monitoring.
  • Collecting and coordinating materials for briefings, files, meetings, and presentations.
  • Managing incoming messages and documents, ensuring attribution and follow-up within deadlines.
  • Monitoring and managing the unit's absences records.
  • Ensuring regular updates to planning tools (absences, trainings, language courses, business continuity plan).
  • Maintaining documents and data in appropriate files or IT databases.
  • Providing administrative support for HR matters, including selection procedures for staff recruitment.
  • Preparing and following up on files and documents for recruitment processes.
  • Managing meeting room reservations and providing e-passes for candidates.
Required Experience
  • Secretarial experience with a good knowledge of Microsoft Office tools (Word, Excel, PowerPoint) and Commission IT programs (Sysper, Ares, MIPS).
  • Experience in working for the EU institutions would constitute an asset.
Qualifications

A level of post-secondary education attested by a diploma, OR a level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years.

Languages Required
Good English language skills, both spoken and written, are essential. A thorough knowledge (minimum level C1) of one of the 24 official languages of the EU. AND a satisfactory knowledge (minimum level B2) of a second official language of the EU, to the extent necessary for the performance of the duties.
Languages Preferred
Knowledge of EU matters and experience in working for the EU institutions would constitute an asset.
Contract Duration
Up to 4 years maximum. The contract might then be extended only once for a maximum of 2 years.

Remuneration
The recruitment grade will be calculated based on qualifications and professional experience. Higher grades may be granted exceptionally. The pay of staff members consists of a basic salary supplemented with specific allowances, including, where applicable, expatriation and family allowances. Pay is subject to a tax raised by the institutions.
