Overview
The Executive Assistant and Information Management Officer provides comprehensive administrative support to the Office of the Director-General and contributes to its effective management. The role is responsible for information management, including reviewing and improving operating practices related to information flows.
Key Responsibilities
- Plan and coordinate Directorate and POM meetings, including document preparation, logistical arrangements, and follow-up actions.
- Draft and circulate minutes of meetings and prepare summary documents.
- Manage Directorate and Governance submissions.
- Develop and maintain briefing files and ensure Intranet content is accurate.
- Coordinate the agenda and meetings for the Head of Institutional Readiness, Crisis Response and Learning (HoIRCL).
- Support the organization of team meetings and workshops for the HoIRCL.
- Manage information with confidentiality and discretion.
- Manage team spaces and update group lists for the Directorate and POM.
- Update the Institutional Calendar with Directorate and POM Sessions.
- Organize briefing sessions on Directorate and POM functioning practices.
- Analyze information management needs and propose adaptations to processes, practices, and tools.
- Ensure proper records management for the Directorate and POM.
- Manage the Office of the Director-General's collaborative space.
- Manage the flow of information within the Office, informing and coaching staff on policies and procedures.
Required Experience
- At least 5 years of professional experience in a support function at executive level.
- Proven capacity to assess information management processes and practices and propose improvements.
- Experience in diplomatic protocol.
- Information gathering, monitoring, and problem-solving skills.
Qualifications
• Bachelor's degree.
