Overview

The role of Executive Assistant to one of the STCs of the STO-Collaboration Support Office (CSO) involves providing executive and administrative support to scientific and technical committees within NATO.


Key Responsibilities
  • Organizing logistical and administrative aspects of off-site and on-site STC activities, such as Business Meetings and Symposiums.
  • Advising Technical Teams and managing scientific publication content.
  • Supporting scientific messaging efforts by compiling content for communication products.
  • Developing methodology for administrative tasks, maintaining records, and managing projects.
  • Conducting pre-trips to advise on logistical arrangements for future Symposia and STC Business Meetings.
  • Representing the STC in dealings with CSO Staff, NATO authorities, and external high-level persons.
  • Contributing to the elaboration of Decisions Sheets through proof-reading and editing.
  • Providing information for contract procedures related to the Collaborative Program of Work and following up with contractors.
  • Preparing non-technical documents for signature.
  • Assisting in the preparation and management of the STC’s Program of Work, budgets, and spending plans.
  • Preparing agendas and associated documents for committee sessions.
  • Preparing the STC’s yearly travel plan and arranging travels.
  • Assisting the Security Office in ensuring security procedures are followed.
Required Experience

Five-year experience as an administrative assistant, followed by two years in an administrative position at same level of responsibilities. Experience in the operation of computers, word processors and database software. Prior experience as an Assistant in a Scientific and/or Technological professional environment is desirable.

Qualifications

Have successfully completed a post high-school specialized education as a multilingual personal assistant, or demonstrated equivalent training. Be able to take notes and write meeting reports. Advanced training in the use of office software suites is desirable.

Languages Required
Very Good knowledge of one of the two official NATO languages (SLP:4343) and a fair knowledge of the other (SLP: 2222). The work is mainly conducted in the English language.
Languages Preferred
Very good knowledge of both NATO official languages. Knowledge of other European language(s).
Contract Duration
Three years including a six months probationary period

Remuneration
5,335.54 Euro (EUR) Monthly. Specific allowances may apply, depending on personal circumstances of the incumbent. The post holder will benefit from 30 days annual leave, life and medical insurance, a retirement pension plan, education allowance for dependent children and biennial home leave if eligible.
