Overview
Provides secretarial and administrative assistance to the Secretariat of the Assembly of States Parties, supporting the office in various tasks assigned by the Director.
Key Responsibilities
- Assists in drafting, preparing, formatting, printing, and mailing documents.
- Assists with travel arrangements for delegates and staff.
- Assists in preparing and following up on staff contracts.
- Assists in preparing for and receiving participants at meetings.
- Answers telephone calls, registers incoming communications, and prepares draft acknowledgments.
- Keeps attendance records and prepares duty rosters.
- Keeps records for compensatory time/overtime, travel authorizations.
- Reviews, classifies, stores, and updates incoming communications in archives and databases.
- Assists in preparing and posting information and documents on the Court's website.
- Organizes meetings for the Director.
- Purchases supplies and keeps inventories.
- Organizes and assists in keeping the archives of the Secretariat.
- Performs ad hoc tasks as requested by the Director, including supervising editing/translation and preparing material for publications or website posting.
- Assumes functions of other colleagues in case of absence or workload.
- May be asked to work outside normal work hours, compensated by compensatory time off.
Required Experience
At least four years of clerical and administrative work. Experience in an international organization/environment desirable.
Qualifications
Completion of secondary education.
