Overview

The Operations Associate (G-6) position provides specialized and procedural communications, operational, and administrative support services within the Division of People and Culture. The role is accountable for executing a broad variety of administrative tasks requiring in-depth knowledge of UNICEF procedures.


Key Responsibilities
  • Monitor budgets and financial expenditures, ensuring compliance with rules and regulations.
  • Prepare and maintain records for budget monitoring and project implementation.
  • Facilitate the processing of contracts and Long-Term Agreements for consultants and external partners.
  • Provide support pertaining to Supply procedures, including RFP and LTA processes.
  • Guide sections on policy and procedures for contract management.
  • Provide monthly reports on institutional and consultant contracts status and utilization.
  • Support procurement processes for learning and development services.
  • Provide travel assistance for staff and consultants.
  • Monitor travel certification and report back to the team.
  • Collect and file invoices for approval and process them through Service Gateway.
  • Upload electronic files and verify results.
  • Respond to client inquiries regarding transaction status.
  • Support management of administrative supplies, office equipment, and inventory.
  • Act as an Asset counter and assist with yearly asset counts and registers.
  • Monitor and supervise the use of supplies and ensure premises maintenance.
  • Arrange for the purchase and distribution of office supplies.
  • Coordinate logistics and administration for workshops, webinars, and learning events.
  • Assist in reviewing participant eligibility for learning programmes.
  • Track performance for career coaches, facilitators, and learning vendors.
  • Coordinate consultant onboarding, contractual documentation, and payment processes.
  • Support the administration of evaluations of learning services and programmes.
  • Provide support to the Operations team on Audit-related tasks.
  • Provide support with analysis of participants.
  • Provide other administrative support as required.
Required Experience

A minimum of 6 years of relevant programme support, operations, administrative or clerical work experience is required.

Qualifications

Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.

Knowledge of English and Turkish at a proficient level is required.
Languages Preferred
Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish).
