Overview
The Associate Travel and Protocol Officer is responsible for managing official travel arrangements for Agency staff, including procuring tickets, reservations, and visas, and ensuring compliance with travel regulations.
Key Responsibilities
- Procure air tickets and hotel reservations for official travel.
- Ensure issuance of appropriate visas, travel documents, and permits.
- Analyze and advise on economical travel rates.
- Advise staff on travel arrangements and entitlements.
- Oversee issuance, renewal, and cancellation of United Nations laissez-passer.
- Arrange travel for International and Area staff and dependents.
- Manage trips of International Drivers and draft transport requisitions.
- Serve as focal point for operational status of border crossings.
- Review and ensure compliance with travel regulations and policies.
- Liaise with authorities for entry and exit clearances.
- Manage a follow-up system for visa renewals.
- Act as the first focal point for granting Israeli visas for international staff.
- Draft travel-related reports and correspondence.
- Verify invoices from hotels and travel agents.
- Provide financial information to the Finance Department.
- Be responsible for the Travel Management System (TMS).
- Coordinate ASD transportation and requisition requests.
- Organize and follow up on internal and external meetings or events.
- Perform other assigned duties.
Required Experience
A minimum of four years of responsible and relevant work experience in administrative work, preferably, in travel and visa administration is required.
Qualifications
A university degree from an accredited educational institution in business administration, logistics, travel management, accounting, computer, public administration, or other related disciplines.
