Overview

Assisting in streamlining visa application services for German family reunification, resettlement, and evacuation caseloads.


Key Responsibilities
  • Assist beneficiaries at the FAP Center and manage their files.
  • Process family reunification visa applications, register appointments, create case files, distribute files, collect biometric data, and maintain file tracking.
  • Undertake applicant form completion and casework interviews, ensuring accuracy and reporting quality issues.
  • Enter data into FAP case management software, verifying information and translating documents when needed.
  • Organize and schedule family reunification appointments.
  • Update FAP case management system with application data.
  • Enter applicant data and lodge application documents.
  • Guide migrants in completing visa application forms and conduct remote completeness checks.
  • Provide accurate and timely information to migrants regarding visa requirements and appointments.
  • Organize applicant files according to German Consular staff instructions.
  • Call families and principle applicants to answer questions and provide guidance.
  • Maintain records of applications and contacts, and assist with report preparation.
  • Inform supervisors of problems and suggest improvements.
  • Demonstrate understanding of FAP SoPs and maintain professionalism.
  • Maintain confidentiality of FAP-related matters.
  • Mitigate fraud and malfeasance, and monitor data integrity.
  • Flag vulnerable cases needing referral and protection support.
  • Handle hardship and medical cases, coordinating with relevant departments.
  • Ensure general maintenance of the IOM FAP office building and equipment.
  • Coordinate with logistics, finance, and human resources units.
  • Organize and register missing documents.
  • Support German resettlement missions by filling forms, collecting documents, and preparing files.
  • Receive and forward original documents for legalization.
  • Provide training and assistance to new staff members.
  • Undertake duty travel when needed.
  • Perform other assigned duties.
Required Experience
  • University degree with three years of relevant experience; or, High school diploma with five years of relevant experience.
  • Minimum three years of relevant professional experience in a similar setting and capacity preferred.
  • Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities.
  • Previous work experience in international organizations and service industry companies and in non-government or government institutions/organization in a multi-cultural would be an advantage.
Qualifications
  • University degree in Business Management, Client Services, Social Science, Engineering Science or related field; or, High school diploma.
  • Accredited Universities are those listed in the UNESCO World Higher Education Database.

Languages Required
Fluency in English is required (oral and written).
Languages Preferred
Working knowledge of another official UN language (Arabic, Chinese, French, Russian, and Spanish) is an advantage. Oral and written fluency of beneficiary’s languages (Dari and Pashto) is an advantage.
Contract Duration
1 year with possibility of extension
