Overview

The Logistics Assistant will be responsible for completing specialized activities to ensure the smooth flow of equipment, supplies, and personnel within the field mission area.


Key Responsibilities
  • Assist in monitoring requests for supplies, equipment and other logistical requirements.
  • Maintain appropriate records of requests, deliveries, issues and outstanding requirements.
  • Coordinate with supply, warehouse, property management and other relevant units concerning the status of requested items.
  • Assist in tracking the delivery, transfer, receipt and distribution of supplies and equipment.
  • Support periodic verification and reconciliation of logistics records and identify discrepancies for corrective action.
  • Supports more senior staff with respect to all aspects of logistical support.
  • Acts as focal point for the production of logistical assessments and reports.
  • Maintains supporting files and database with respect to Letters of Assistance (LOA) or Service Level Agreements (SLA).
  • Assist in coordinating official visits for UNSOH and GSF, including logistical arrangements, scheduling, transportation and coordination with relevant mission support functions and stakeholders.
  • Maintain accurate records of arrangements and ensure timely follow-up on all outstanding requirements
  • Assist in coordinating personnel and cargo movements in cooperation with the Transport/Movement Control and other relevant sections
  • Maintain records of scheduled and completed movements, including personnel, vehicles, cargo and equipment, as applicable.
  • Follow up with relevant parties regarding changes, delays, cancellations or other issues affecting planned movements.
  • Support the coordination of transportation requirements for meetings, deployments, official visits and mission activities.
  • Compile movement-related information and provide updates to the Mission Support Center and relevant supervisors.
  • Assist in reviewing and validating all Movement of Personnel (MOP) requests received from the GSF for completeness, accuracy and compliance with established procedures
  • Raise the corresponding MOPs in the Field Support Suite (FSS) for UNSOH flights, ensuring that requests are accurately entered, processed and followed up in a timely manner.
  • Familiarizes new staff with respect to work requirements and applicable UN guidelines and office procedures.
  • Performs other duties as required.
Required Experience

At least five (05) years of progressively responsible experience of practical logistics operations or related area, is required. Experience engaging with government counterparts and logistics suppliers is required. Experience in using computer application like MS Office, specifically in Word, Excel, and PPT is required. Experience within the UN common system or other similar international organization is desirable. Experience in coordinating road convoys for large-scale cargo operations is desirable.

Qualifications

High school diploma or equivalent is required. A valid Driver's license, including the ability to operate a manual-transmission light vehicle in 4x4 conditions, is desirable. Technical or vocational certificate in logistics, transportation or asset management is desirable.
