Overview

The selected candidate will provide operational and administrative support to the department, focusing on processing travel expense reports and advising staff on travel policies and procedures.


Key Responsibilities
  • Process travel expense reports, ensuring accuracy, completeness, and data quality.
  • Review and certify duty days in accordance with mission records and applicable guidelines.
  • Determine standard entitlements and ensure compliance with Fund and departmental travel policies.
  • Monitor adherence to the Lowest Available Direct Fare (LADF) principle.
  • Verify reservation details and ticketed itinerary costs against approved Travel Authorizations (TAs) and contractual terms.
  • Serve as the primary point of contact for travel-related issues.
  • Advise staff on travel policies and procedures.
  • Prepare periodic performance reports on FAD travel claims processing.
  • Identify and propose improvements to departmental travel policies and procedures.
  • Collaborate on special projects and cross-functional initiatives.
  • Advise CD project managers on capturing and managing capacity development activities in CDMAP.
  • Conduct quality control reviews of activities recorded in CDMAP.
  • Maintain the accuracy and timeliness of mission travel information in TIMS.
  • Assist in administering TIMS, including mission records, expert roster management, and Capacity Development (CD) report finalization.
  • Support the recruitment and contracting of short- and long-term experts.
  • Liaise with HR, Finance, and IT on matters related to contracts, security clearances, and travel logistics.
  • Ensure all activities comply with applicable Fund policies, regulations, and internal controls.
  • Contribute to the administration of externally financed CD projects.
Required Experience

A minimum of two (2) years of relevant experience is required. No previous experience will be required for those who have completed a university degree.

Qualifications

Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of two (2) years of relevant experience, is required. No previous experience will be required for those who have completed a university degree.
