Overview
The selected candidate will provide operational and administrative support to the department, focusing on processing travel expense reports and advising staff on travel policies and procedures.
Key Responsibilities
- Process travel expense reports, ensuring accuracy, completeness, and data quality.
- Review and certify duty days in accordance with mission records and applicable guidelines.
- Determine standard entitlements and ensure compliance with Fund and departmental travel policies.
- Monitor adherence to the Lowest Available Direct Fare (LADF) principle.
- Verify reservation details and ticketed itinerary costs against approved Travel Authorizations (TAs) and contractual terms.
- Serve as the primary point of contact for travel-related issues.
- Advise staff on travel policies and procedures.
- Prepare periodic performance reports on FAD travel claims processing.
- Identify and propose improvements to departmental travel policies and procedures.
- Collaborate on special projects and cross-functional initiatives.
- Advise CD project managers on capturing and managing capacity development activities in CDMAP.
- Conduct quality control reviews of activities recorded in CDMAP.
- Maintain the accuracy and timeliness of mission travel information in TIMS.
- Assist in administering TIMS, including mission records, expert roster management, and Capacity Development (CD) report finalization.
- Support the recruitment and contracting of short- and long-term experts.
- Liaise with HR, Finance, and IT on matters related to contracts, security clearances, and travel logistics.
- Ensure all activities comply with applicable Fund policies, regulations, and internal controls.
- Contribute to the administration of externally financed CD projects.
Required Experience
A minimum of two (2) years of relevant experience is required. No previous experience will be required for those who have completed a university degree.
