Overview

Provide day-to-day operational and technical support for the effective implementation of the Project Preparation Grant (PPG), focusing on achievement of results and effective resource utilization.


Key Responsibilities
  • Support coordination and engagement with partner government agencies, implementing partners, consultants, international donors, bilateral and multilateral organizations, and other relevant stakeholders.
  • Provide administrative and logistical support in organizing meetings, workshops, seminars, and other events of the project.
  • Create and manage e-requisitions for travels.
  • Ensure delivery of activities and contribution to outputs and outcomes through an effective implementation plan, change management, and close coordination with UNDP management, technical teams, and government partners.
  • Collaborate with the project team in preparing the project’s annual work plan, procurement plan, M&E plan and preparation of progress and technical reports.
  • Support the preparation and implementation of the validation workshop and consultations, including logistical coordination and documentation consolidation.
  • Support compliance with UNDP corporate reporting, monitoring, and quality assurance requirements.
  • Ensure uploading of annual work plans, budgets, progress reports, and other reports to Quantum as required.
  • Collaborate with the project team for regular monitoring and reporting of physical and financial progress against project indicators, targets, and deliverables under the PPG framework, and ensure timely completion of all Component A, B, and C outputs.
  • Support the compilation, organization, and quality assurance of technical reports, annexes, and submissions required for the UNDP-GEF ProDoc and CEO Endorsement Request.
  • Support the operational and financial management of the PPG grant, including monitoring and maintaining a proper record of budget utilization and budget revisions, and ensuring compliance with UNDP financial and reporting procedures through Quantum and related systems.
  • Prepare, ensure accuracy, and monitor all payment requests along with supporting documents.
  • Draft terms of references (TORs), technical specifications, and/or programs of work, and collaborate with the UNDP Procurement and Operations Teams in undertaking the procurement and contract management of the project consultants and suppliers.
  • Conduct field visits, support data collection and validation activities, and co-facilitate training sessions, stakeholder consultations, and workshops as needed.
  • Document proceedings during stakeholder consultations and workshops.
  • Facilitate knowledge and capacity building, knowledge sharing and advocacy relevant to the assigned thematic area(s).
  • Organize training, workshops, and capacity building activities in a consultative manner, involving technical experts and stakeholders that may include the government, private sector, NGOs, donors, and/or academia
  • Identify, synthesize and document best practices and lessons learned that are generated from the project and implementing partners.
  • Participate in and ensure sound contributions to knowledge networks and communities of practice on project related issues.
  • Support establishment of knowledge platforms for the project, facilitate innovative mechanisms for dissemination of knowledge from the project, and develop knowledge resources and products to share with project partners and to support UNDP’s engagement.
  • Deliverables include: Activity designs of PPG stakeholder consultations and the validation workshop; PPG Team minutes of meetings; Logistical and administrative support to stakeholder consultations; PPG financial monitoring reports; and Processed travel and payment requests.
Required Experience
  • Applicants with a Bachelor’s degree (or equivalent) are required to have a minimum of two (2) years of relevant professional experience at the national or international level in providing strategic and coordination support to project development, project management, monitoring and evaluation, and knowledge management in development cooperation or related areas.
  • Desired skills include demonstrated experience in environmental planning, local development planning process, and in working with NGAs. Previous experience working with United Nations Development Programme. Previous experience in conducting policy and institutional research and stakeholder coordination. Proven knowledge of procurement principles and processes and financial management.
Qualifications

Advanced university degree in Environmental Science, Development Studies, Urban Planning, Public Administration, Economics and other relevant degrees. A first-level university degree (bachelor’s degree) in the above fields in combination with an additional 2 years of qualifying experience will be given due consideration in lieu of the advanced university degree.
