Overview

Provides administrative support to project activities, ensuring timely progress and adherence to budgets. Responsible for performing and following up on programme and administrative support services efficiently and effectively.


Key Responsibilities
  • Follow-up on programme and project-related matters, including submission of terms of reference for external collaborators, coordination of project activities, and tracking implementation.
  • Perform programme support for project implementation, including coordinating programme documentation and maintaining supporting documentation.
  • Prepare and track programme and project related transactions in IRIS, including contracts, travel authorizations, and procurement requests.
  • Provide administrative and programme backstopping to project staff and collaborators.
  • Assist with programming and preparation of budget estimates and expenditure forecasts.
  • Maintain an overview of project implementation to support timely programme and administrative actions.
  • Support programme monitoring and reporting processes, including consolidating inputs and preparing briefing materials.
  • Draft non-substantive correspondence on projects and programme activities.
  • Update information on websites.
  • Maintain, develop, and update databases and records of activities.
  • Perform basic research for information.
  • Prepare and update periodic reports, background information, briefing notes, and statistical summaries.
  • Provide programme assistance, including coordination of project-related missions, activities, meetings, and travel arrangements.
  • Perform other related duties as may be assigned by the supervisor.
Required Experience
  • Minimum of five years of office support work experience, including in programme and budget support work and project administration.
  • Experience of working with an enterprise resource planning (ERP) system.
  • Proven experience of supporting implementation of technical cooperation projects and working effectively with government bodies in charge of policy making and with development partners (asset).
  • Similar experience with the United Nations Common System or an international organization (asset).
Qualifications

• Completion of secondary school education.

• Excellent knowledge of English.
Languages Preferred
• Working knowledge of French or Spanish will be considered as an asset.
