Overview
Oversees and manages all administrative and logistical functions of IRC Country Office, ensuring efficient, effective, and compliant delivery of support services.
Key Responsibilities
- Manage the organization's fleet of vehicles, including maintenance, repairs, fuel consumption tracking, and vehicle allocation.
- Oversee the proper management of all goods and supplies, including managing storage facilities, conducting regular stock counts, and maintaining accurate inventory records.
- Maintain a comprehensive and up-to-date asset register.
- Plan and coordinate the safe and timely transportation of goods, materials, and staff.
- Ensure the smooth daily operation of the office(s), including managing office supplies, equipment, utilities, and general maintenance.
- Oversee the security, maintenance, and repair of all organizational premises.
- Coordinate and manage travel arrangements for staff, consultants, and visitors.
- Supervise the maintenance of a proper filing and documentation system for all administrative and logistical records.
- Contribute to the development of annual and project-specific budgets for administrative and logistics activities.
- Monitor and manage the logistics and administration budgets.
- Prepare regular reports on logistics and administrative activities.
- Directly supervise and mentor the Admin and Logistics team members.
- Identify training needs and provide coaching to staff.
- Conduct regular performance appraisals, set objectives, and ensure a positive and efficient work environment.
- Develop, review, and enforce administrative and logistical policies and standard operating procedures (SOPs).
- Proactively identify and mitigate risks related to administrative and logistical operations.
- Ensure that all logistical activities are carried out with a strong emphasis on staff safety and security.
- Monitor and ensure compliance with regulatory requirements established under the agreement/convention with the government.
Required Experience
Minimum of 5-7 years of relevant experience in a similar role, with at least 2-3 years in a managerial or supervisory position, preferably within the NGO or humanitarian sector. Proven experience in managing the full supply chain, including procurement, warehousing, and transportation. Strong knowledge of donor regulations is highly desirable.
Qualifications
Bachelor’s degree in business administration, Logistics, Supply Chain Management, or a related field. A master’s degree is a plus.
