Overview
The Administrative Assistant will be responsible for supporting the legal section by tracking work assignments, maintaining databases and filing systems, and providing general office support.
Key Responsibilities
- Receives and tracks all work assignments and requests for legal advice.
- Maintains a task allocation schedule for legal officers and monitors deadlines.
- Maintains the legal office database and filing system.
- Drafts basic letters, memos, or emails.
- Edits and conducts final checks for accuracy of legal documentation.
- Researches and compiles legal materials.
- Reviews, summarizes, and indexes significant rulings and legal opinions.
- Services committees, hearings, and meetings, and drafts minutes.
- Provides general office support services.
- Schedules appointments and monitors deadlines.
- Performs administrative duties such as leave recording and travel arrangements.
- May provide guidance/training to less experienced staff.
Required Experience
At least 5 years of progressively responsible experience within the United Nations Administration of Justice system or the private sector in paralegal work, Legal assistance or administrative support in legal chambers/Law firms, Courts of law or Legal Tribunals.
Qualifications
High school or equivalent diploma is required. Technical or vocational certificate in administrative services, human resources, business administration or personnel management is a requirement. Must be conversant with use of Excel and spreadsheets.
