Overview
The Supply Chain Management Senior Assistant will ensure the comprehensive management, administrative control, and lifecycle supervision of supplier contracts.
Key Responsibilities
- Establish control and registration of contracts and amendments for the acquisition of medical supplies and/or devices.
- Establish control and follow-up of contracts with service providers related to equipment acquisition.
- Process documentation for customs clearance of international acquisitions.
- Control and register performance bonds from suppliers and monitor their validity.
- Provide strict follow-up and management of contracts, including delivery status, modifications, penalties, withholdings, and payments, raising alerts as needed.
- Coordinate deliveries between associates and suppliers, and potentially accompany the reception process.
- Receive and review documentation for payment processing, ensuring accuracy and contract compliance.
- Manage contract amendment requests, ensuring due diligence and appropriate transfer to the procurement area.
- Provide information on supplier performance history for future adjudications.
- Maintain quality and timely information in contract tracking matrices.
- Ensure due diligence in contract management documentation, maintaining physical and digital records.
- Periodically update information in One UNOPS for contract management due diligence.
- Maintain adequate and fluid internal and external communication.
- Support the project in specific activities related to suppliers and customer service.
- Assist the Project Management Senior Associate and Manager in general project activities.
Required Experience
- Five (5) years of experience in administrative or financial support, preferably in international organizations or UN agencies.
- Experience in document administration and contract administration (administrative and financial).
- Experience in administration, accounting, procurement, finance, logistics, and monitoring, infrastructure projects/companies, health sector projects/companies is desirable.
- Experience with office suites (preferably G Suite or MS Office).
Qualifications
- Completion of secondary education with 5 years of relevant experience, preferably a high school diploma or technician in an administrative area, a commercial expert, or a professional technical high school diploma in accounting and finance.
- A university degree at the bachelor's level with one year of relevant experience, preferably in Business Administration, Public Accounting, Finance, Industrial Engineering, Economics, or related fields is desirable and may substitute for years of experience.
- A technical diploma in a relevant area may substitute for some of the required years of experience.
